- Displays created for silent auction items & easels brought for artwork, mannequins for jerseys, etc.
- Dedicated auction (800) phone number, PO Box & email address used by Gavel Group to handle auction item inquiries & resolve post-event questions/issues & any auction item needs on behalf of non-profit
- Suggestions for event timeline & order of live auction items & program
- In-person brainstorm meeting to devise wish list for potential auction items
- Venue walk-through meeting to confirm equipment & logistics, as well as to strategize auction table placement, guest flow, etc.
- Web microsite for auction providing proxy bidding capability
Day Of Auction:
- Complete setup & teardown of the silent auction
- Provide bid stickers with guests’ names & bid sheets with patent-protected barcode technology on colored paper by category
- Gavel Group’s proprietary iPad check-in system-secures & encrypts guests’ credit cards to have on file for purchases & includes confirmation of e-mail addresses & cell phone numbers
- 3.75% flat rate guarantee credit card processing with no additional fees featuring American Express, Visa, MasterCard and Discover
- Patent-protected Green Button at check-in that offers guests the ability to add 5% to their total spending to help underwrite event costs (Add $750 to quote if eliminating this feature)
- Text messages sent at the close of the silent auction to both non-winners & winners detailing purchases or telling them they didn’t win, thus their budget is free to participate in the donation appeal & live auction
- Processing of all credit cards real-time into the non-profit’s account
- 10-12 auction staff members to manage all aspects of the auction
- Professional auctioneer who will call the silent auction & conduct donation appeal & live auction
- Forms created for guests to sign for donation appeal & (3) Gavel Group recorders to cross reference ensuring no donations are missed
- Cashiering of guests at tables including distribution of all silent and live auction items to winning bidders
Post Auction:
- Complete auction folio emailed to guests listing all purchases at event
- Dropbox file sent that includes electronic copies of: item certificates, bid sheets, complete auction item text descriptions, winning bidder folios, & auction reports
- Donation receipts emailed to donors of auction items within seven days post-auction
- Detailed post-auction analysis of data
- Item fulfillment for Gavel-secured items
- Donor and winning bidder support for up to one year post-auction
- Debrief meeting with CEO & Account Executive to review event
Custom Fee Details:
Gavel Group earns 50% of the selling price of Gavel secured Items. Gavel Group Is eligible for a bonus of 25% of the Increase in the live auction and/or donation appeal. 10% if first-year category, the 3.75% credit card rate excludes any transaction fees, interchange fees and surcharges and allows use of American Express, Visa, Mastercard and Discover. Gavel Group is paid 25% of the 5% buyer’s premium (green button) as a licensing fee.
